Your profile has been created in our database so you are ready to start. Before we send you your very first project, we would like you to read some information about Codex, how we work and our general terms.

About Codex

Formed in 2003, Codex Global Ltd is a London based translation agency providing language services and multilingual content creation for global businesses and brands. We work cross-sector with particular expertise in retail (fashion and consumer goods), legal, human resources, and manufacturing. We are committed to embracing technology for the enhancement and efficiency of processes and workflows.

On behalf of the Board and everyone at Codex Global, I would like to welcome you as a freelance linguist to our company. Our business would be nothing without clients, our employees and our talent, as such we go to great lengths to look after and work with linguists and clients alike ensuring that satisfaction and quality levels are the best they can be.

We receive great feedback from our existing linguists and I am in no doubt that you too will enjoy working with Codex.

Our sales and marketing strategy is to seek new clients who have a large on-going requirement and this results in many of our requestors sending repeat business daily or weekly. In order to facilitate this we build teams of linguists who get to know us very well and become an intricate part of the crew looking after that client. The sales process to win this type of work is thorough, sometimes intense and occasionally involves requests by prospective clients for the production of test pieces. Should this situation arise and you are chosen as potential talent for a new client we would like to reassure you that we will strive to be compensated and pass it on to you. In the event that this isn’t possible, we will talk you through the likely scope of the potential client so you can decide if you would like to take part in the sales process with Codex creating the chance to work in that team.

When you start working with Codex, you will quickly realise that the calibre of our project managers is second to none and you will enjoy working with our enthusiastic, conscientious and well-motivated team – believe me, they will make your life a lot easier. Our project managers are all trained linguists, so they understand your challenges.

LET’S BEGIN!

1. Status

Once you have provided all requested information and documents, our Talent Management team completes your profile. It will then appear in our database with the status of Beta.

Our partners are assessed on their performance and on the quality of completed work. When a project includes a proofreading or revision step, another linguist may review the work for aspects such as grammar, style, and domain-specific accuracy. In all cases, a project manager will evaluate elements such as adherence to deadlines, following instructions, and overall communication.

Depending on the average feedback score, the status and ranking of the partner will change: the higher the status, the more projects, clients, and services they will be exposed to.

Upon successful completion of 10 projects with only positive feedback, your status will be changed to Pro. Over time, if you provide top quality and receive highly positive feedback, a premium status of All Star can be achieved.

A linguist will not be contacted for projects if:
Registration has not been completed (i.e. not all information and documents have been provided) – the linguist stays in Newbie status until the registration is complete
Linguist no longer freelances (status of the profile is changed to Old)
3 projects have been completed with average feedback below 65% (Disqualified)
Gross misconduct has been reported (Blocked in the database).

2. After Registration

Once your profile is fully set up (Beta status), you are ready to receive your first project. You should have also received a separate email with the credentials to access our Portal.

When do I receive my first project?

If you have been registered into our database as a result of an urgent outsourcing campaign, you will be contacted within a couple of days by a project manager who oversees that project.

However, it could be that you won’t hear from us for a time after the registration, most likely because we have not received a suitable project matching your language combination and specialism(s) yet.

Some of our clients also work with pre-selected linguists who went through a testing phase, therefore they are working mainly with a small number of linguists. We are always aiming to assign our new linguists for the first project as soon as possible but unfortunately, it is not always possible to predict our customers’ requirements.

If you are contacted for a project which requires a specialism you don’t feel comfortable with or don’t have any experience in, we encourage you to decline the job. The reason for this is that not all projects are proofread by a second linguist and we endeavour to provide our clients with the highest quality standards. If you are interested in gaining experience in other subject matters than your usual specialisms, please discuss this with your project manager or the talent management team before accepting any projects.

As mentioned above, we monitor the performance of our linguists closely. Additionally, the majority of our clients perform internal reviews of the work we deliver. Therefore, any errors or other quality issues are likely to be spotted and can lead to reducing PO’s or even blocking in serious instances.

Please always take the time needed to complete your project, review your own work before submitting it and run a thorough quality assurance check to ensure your work meets our quality standards. If you are concerned that a turnaround time requested by our team may affect the quality of your work, please contact your project manager as soon as possible.

In addition, we would like to remind you:

  • To provide us with updated documents, should you: receive a new certificate, change your bank details, address, language combinations, etc.
  • To refrain from setting Codex Global as your full-time employer on your LinkedIn profile and other platforms. However, you are welcome to set Codex as an end client, as long as it’s clear that you work with us on a freelance basis.
  • Please do not mention the names of any of our clients you may work for in your CV, LinkedIn profile and other platforms. However, feel free to refer to Codex Global as your end client and specify the types of projects.

4. Payment Terms

Our payment terms are 60 days upon receipt of the invoice.

Upon completion of the job, you will need to invoice us as soon as your Project Manager approves and closes the project after delivering it to the client. Please ensure you invoice on time to ensure timely payment. We recommend batching up several projects into one invoice, particularly if you worked on several smaller projects.

5. Codex Portal

  • To access the portal, go to https://portal.codexglobal.net/. You will receive login details after your registration.
  • You will have a Dashboard with an overview of all your activity with us: ongoing projects, approved projects to be invoiced and invoices.
  • One of the greatest features of the portal is its Reporting tool – you will be able to run reports to see how much you have done for us within a click!
  • For each project, you will be able to access instructions, download reference material and deliver your project either in batches or in full. For each delivery you will need to fill in a check list – it will help you ensure that all instructions have been followed and reviewed before you deliver.
